An excerpt from the document on governance structure
7. The Enting takes care of all administrative matters which are not
required to be done by the legal entity. The Enting has several members,
called Ents. The Legal Entity provides the first ents. The Enting can
accept new members into the Enting.
8. The Enting decides on a well-defined process on how new Ents are
accepted and makes that process publicly available.
9. The Enting meets publicly on a regular basis and decides
transparently on administrative matters.
...
13. After a maximum of 2 years, the Enting is reset and the
Legal Entity starts a new Enting.
As of 2025-03-19, the enting consists of
The Enting uses different Channels for different purposes. Due to privacy and to have a save-space communication wise, all these channels are private and encrypted.
The enting has two modes of taking decisions, synchronous and asynchronous. Synchronous decisions are taken during a meeting. Asynchronous decisions are taken between meetings. Any ent can require that a proposal up for asynchronous decision be treated in a synchronous meeting instead.
For the asynchronous process, decisions are made by democratic majority vote of >= 80% of present and non-abstaining Ents. (The Enting will re-visit how asynchronous votes are made after Easter-2023.)
There is a quorum of >=50% on all enting decisions.
Members can borrow tools for a specific project and a short specific timeframe. Tool, project and timeframe are to be announced in the channel #borrowing . The return of the tool is to be announced in that channel as well. Damage or loss of tools is on the expense of the borrower. Non-members cannot borrow tools.
The of an asynchronous proposal is evaluated as follows:
Covid rules through 2023-03-21:
xHain Hack- & Makespace is a physical space with a supportive community. We are welcoming to all with an inclusive mindset. We all benefit from shared resources. Through individual and collaborative projects, we encourage all to explore what each finds enjoyable, meaningful, and fun. The possibilities for growth are diverse and rewarding. We teach, we share, we learn.
Each member assesses their personal risks by themselves. There is no need to justify why a certain risk level is being perceived.
There are people who arrive at a high personal assessment of risk. This is fine.
There are people who arrive at a low personal assessment of risk. This is also fine.
Trying to convince another member that their risk assessment is wrong is pointless and not considered excellent.
There are people who will avoid xHain if there are no masks being worn.
There are people who will avoid xHain if masks are required.
There are people who will not avoid xHain in either case.
We want to make sure that members belonging to any of the groups mentioned above can visit xHain and have pleasant and fruitful interactions.
We want people to organise events.
We want people to visit xHain at events.
We want people to visit outside of events.
In light of these considerations, the following rules are established:
Rule 1) Every member and guest of xhain should feel free to wear masks at any time inside the space.
Rule 2) We kindly ask members who are feeling unwell to not come to xhain. Please rest and recover before returning to the space.
Rule 3) Tuesdays, Thursdays and Saturdays will have a mask mandate.
Rule 4) On Tuesdays and Thursdays, the mask mandate starts at 13h. Between 13h and 14h all HEPA filters will be turned on. Mandates end before sunrise on the next day.
Rule 5) The mask mandate requires FFP2 masks, being properly worn. There are exceptions for when people are drinking and/or eating inside xhain. We recommend turning on the HEPA filters when that's the case.
Rule 6) Wednesdays, Fridays and Sundays have no mask requirements, but everyone should feel free to wear them.
Rule 7) Mondays are alternating. The first Monday to enforce rules is on 28th of November. After that, the next (2022-12-05) has no mandate, and so on.
Rule 8) The organiser of an event will declare the event to have a mask requirement or to have no mask requirement. This is recorded in the xHain calendar. For the time of the event, all other settings are overruled.
Rule 9) Open Mondays will follow the Monday rules. On Mondays with a mask requirement, FFP2 masks will be provided for guests who don't have one. If we run out, we'll have an exception during the Open Monday and provide surgical masks instead.
This rule set enters into effect on 2022-11-16
This rule set ceases to have effect on 2023-03-21
The Enting will evaluate the effects of these rules by the first week of January.
The list of curators in the wiki shall be amended as follows: add

As per https://wiki.x-hain.de/en/Governance/Area_Budgets, the Enting assigns the following budgets:
Both filters in the lasercutter have to be replaced as per Markus's assessment. Without them, we cannot operate the laser cutter anymore. The total cost incl. VAT but without shipping is 714 EUR. Details are available here: https://shop.cameolaser.de/epages/cameolaser-shop.sf/de_DE/?ObjectPath=/Shops/cameolaser-shop/Categories/Absaugtechnik/Filterwaren/UML_340__UML_380. The enting decides that these filters shall be purchased.
There will be no welding in Hobelhöhle until the safety conditions improve. Welding will be possible again when the Enting decides that the safety conditions have sufficiently improved
NoGod is the new curator for Darkhain.
The enting suggests that the legal entity appoints the following people as new Geschäftsführer with the parameters provided below.
| Name | topic | starting | ending |
|---|---|---|---|
| Sebastian | phone calls | asap | 31.12.2023 |
| Björn | finance | asap | nd |
| Niclas | the rest | asap | nd |
| Richard | the rest | asap/ 01.01.2024 | nd |
| Dave | the rest | 01.01.2024 | nd |
The enting suggests that Björn buys all Gesellschaftsanteile with the obligation of handing it over to a new legal structure that has to be defined.
Tig3rch3n will be added to the wiki as curator for drinks
The Enting will do their best to publish minutes of their meetings via the member channel and/or the mailing list at latest 72h after the meeting has ended. It may be felt necessary to redact names and detail of some decisions that the Enting considers sensitive, such as decisions involving personal information.
We've been having issues with tools breaking due to misuse, sometimes by people who have had poor intros to a tool. Originally anyone who had had an intro could give one to the next person, but since xhain has grown so much, much information was lost from one intro to another.
For that reason, we feel that this system needs change, and we came to agreement that:
From now on, intros to tools can be given only by curators of an area or by other members appointed by the curators.
Hopefully this will make the space safer for our community and lower the elevated maintenance we are all dealing with due to misuse of tools.
The process of requesting an intro remains the same, ask in the proper channel of where the tool is located. The wiki will list the people permitted to give intros to each tool.
Add Maria to the founding members of the Verein.
Since darkhain now has a curator, darkhain gets a 300 euros budget like the other areas with curators did.
Markus and Rafa discussed building a second level of shelves, above the ones we have in Maschinenraum. Last one cost about 380 Euros. Proposal: xHain allocates up to 400 euros for building a second level of shelves in Maschinenraum for storage purposes.
Appoint Richard as wiki Curator. He will look after the layout, manage content and be the contact person for related inquiries.
A budget of 850 EUR is allocated to installing new electricity for the lobby. This includes Brüstungskanäle, outlets, sockets, and wiring.
A budget of ~800€ will be spent on a barebone server that will live in our network rack. It is intended to run all the local services that are deployed on several RasPis across the space (and many more). It will have a lower power consumption and give us more possibilities for future projects. Bjoern and danimo (+any volunteers) commit to setting it up and operating it.
Accepted Proposal:
The Enting allocates 300 EUR for the door in the rear coworking room to become a real emergency exit. Danimo and Cascha have already investigated the possibilities, trying to balance prevention of burglary and safety. They will present the details of the solution to the Enting before implementation.
Rationale: An emergency exit is in the interest of safety.
Accepted Proposal: The Enting allocates 200 EUR to acquire smoke detectors and related material like emergency lighting. Markus will be the member responsible for setting them up.
Rationale: Our fire detection capabilities are currently substandard.
Accepted Proposal: Eva will be added as an additional curator to the branch textiles
Rationale: She is there a lot and knows the machines better than the current curator Sebastian
Accepted Proposal: we set the operating hours for the laser cutter as follows: working days from 06:00 to 22:00. Sundays 06:00 to 20:00.
Rationale: people are confused what the current rules are. Some clear guidelines will make people more comfortable. The perceptible noise outside is minimal, but cutting during sleeping ours could still be disturbing.
Accepted Proposal: Migrating German wiki content to English and dissolving the German wiki.
Rationale: The German wiki is outdated and misses most of the pages avaiable in English. It is unrealistic for xHain at this point, to maintain a German wiki. Modern browsers provide translation services which makes it quite easy to translate content for the reader. In addition it is explicitly allowed to create German content inside the English wiki, which will be translated by other users in due time. This is to include authors who don't feel confident to write in English but have valuable content to provide.
Accepted Proposal: Introduction of a MakeHERspace day
Description: Starting at noon till open end on Thursdays there will be an event hosted by Eva (paleva). This event is inviting women, girls, grandmas and FLINTA people to the space and will start as a members only event and will probably be extended outwards. This will allow for the members to explore the space and the tools in a relaxed athmosphere to solder, sew, 3D print or craft.
We ask cis-men (cis = gender identity corresponds to their sex assigned at birth) to leave xHain at noon, with the exception of the people renting an office table, guests at that time have to accept this compromise.
Male members can still pick up/drop off urgent stuff during the event if this is done quickly and with a low profile
After a six month testphase there will be an evaluation, if this will be continued as a regular event at xHain.
Accepted Proposal: Timeline for founding the Verein
Accepted proposal: Victor will be added as an additional curator to the branch electronics area
Rationale: He recently invested time and energy into making the electronics area more useable and this will enable him to restock and take care even more.
Accepted proposal: Getting a key: One of the three vouchers has to make an introduction on how to close off the space. We use the wiki page about closing the space as guideline.
Rationale: This was the consensus on the Round Table and is to ensure that all key holders know about their responsibility as such.
Accepted proposal: The last weeks have seen a lot of commotion in the space with several interpersonal conflicts. While we are transitioning to a Verein structure, the provisional Enting structure is still in place. The idea of the Enting was to take care of "boring administrative stuff", such as hiring cleaners and making appointments with the plumbers. It turned out that there are tasks which go beyond boring administrative stuff, and that the emotional load is very high. The community appears to expect things from the Enting which the Enting simply cannot deliver. 3 Ents have left the Enting and 2 more have taken temporary breaks.
We do see that there is a need for community management and conflict resolution, but the current structure is ill-equipped for that. xHain will need better means for conflict resolution than a couple of people who had signed up for taking care of boring admin stuff.
xHain is not a top-down space where the management decrees and the members execute. Each member is invited to think about ways how a community of 200+ people can organize, and how interpersonal conflicts, which will inevitably emerge, can be addressed. The current space rules, available at https://wiki.x-hain.de/en/about-xhain/space-rules, provide a good starting point.
The current financial situation is OK, and the Enting will reserve funds for workshops or similar so that the community can agree on how community management and conflict resolution can be handled in the future. Funds for training the members taking care of these tasks will also be available. From our current experience, we can say that such training is definitely necessary, and we encourage everyone to avoid going into these conflicts without the necessary training.
Accepted proposal: Procedure to recruit new Ents
The Enting can recruit new ents. In order to do so, the following procedure is followed:
Accepted proposal: Tig3rch3n shall become a new Ent
Accepted proposal: Lohrke shall become a new Ent
Accepted proposal:
Micha is to be added to the list of Baumschule curators in the wiki
Accepted proposal:
Bengoshi is to be added to the list of Baumschule curators in the wiki
Accepted proposal:
Olli is to be added to the list of Hobelhöhle curators in the wiki
Accepted proposal:
Proposal: xHain will purchase this embroidery machine: https://www.naehmaschinen.com/brother-innov-is-v3-limited-edition-1093 for 2999 EUR incl. VAT and shipping
Rationale: we have discussed this for a long time, and it is time to move forward.
Accepted proposal: xHain acquires a filament extruder as specified by Felix for up to 600 EUR.
Accepted Proposal: 300 to 500€ for the conversion of the emergency exit door to the backyard.
Accepted Proposal: Carlos is to be added to the list of LaserLab curators in the wiki.
Accepted Proposal: Plans to remove the conrete blocks in the Scubar and Hobelhöhle by Markus. Cost 900€ (540€ for disposal, 175€ for parking signs, 150€ for materials). Areas will be mostly closed from 2024-04-08 to 04-16. A lot of help is needed to carry the concrete out.
Max (@m0le:x-hain.de) is added to the Enting.
Accepted proposal: Núria is to be added to the list of Textiles curators in the wiki.
Accepted proposal: Infrastructure Day related projects take priority on that day. This especially applies to Hobelhöhle.
Rationale: We are happy about every help to make our infrastructure better and want to make sure, that this effort is not curbed by personal projects.
This should be communicated before every Infrastructure Day.
Accepted proposal: lev is to be added to the list of 3D printing area curators in the wiki
Accepted proposal: We buy a dehumidifier / air purifier for the Scubar, as suggested by Olli. Costs will be 400€ plus filter.
Accepted proposal: Núria shall become a new Ent.
Accepted proposal: Acquire a 3D printer as proposed by Victor.
Accepted proposal: Distribute the donation from Sparkasse (1500€) as follows: 260€ Textile (leather, leds), 300€ Darkhain (color development), 300€ Hobelhöhle (accessory table saw) and 640€ Baumschule (kits for children workshops)
Accepted proposal: Change the time of Public Enting to 19:00 on the same day as the first Round Table of the month.
Accepted proposal: The old AVX shelf in the Lobby shall be used by makerHERspace and Neurodivergent Crafting. Remaining space is explicitly not to used for member boxes or Branch storage, but rather for Lobby and event related items.
Accepted proposal: Sebastian will be added to the Wiki as a curator for accessibility. Rationale: it is good to have someone who people with accessibility issues can turn to.
Accepted proposal: Ivo (@GataRosada) becomes a Curator for Textiles.
Reasoning: He knows every corner of Textiles, already does a lot of intros and has been helping with a lot of stuff.
Accepted proposal: Accept the new space rules as discussed in the Round Table on 2025-01-02 and documented here: https://wiki.x-hain.de/en/about-xhain/space-rules-wip
Reasoning: The old space rules had some logical errors and were missing certain points. This is now corrected with the new version of the space rules.
Accepted proposal: Mayhem becomes a curator for LaserLab.
Accepted proposal: Going forward all loans of xHain equipment longer than 1 week require written approval by a Geschäftsführer of xHain gUG
Accepted proposal: xHain will withdraw from the project AlexHain
Reasoning: After the last member-meeting of the AndersMachen e.V. that coordinates the "Haus der Statistik" project, we came to the conclusion that xHain can no longer be a part of the formed Genossenschaft. We debated this after hearing that the general costs would be already rising 100% and the future of the project itself seemed more doomed than hopeful.
Accepted proposal: Sebastian C shall become a new Ent.
Accepted proposal: To maintain a respectful and constructive space, we have banned a User, temporary for 14 days, due to repeated disruptive behavior and refusal to follow moderator guidance. Despite multiple warnings, they continued to derail discussions and disregard requests to move conflicts offline. This decision was made to ensure a positive experience for all members. Thank you for your understanding and cooperation in keeping this chat a welcoming environment.
Accepted proposal: The Scubar-Bar shall only be used by members and their guests. If you find a non-member, who is not invited by a certain member, please inform that person politely about the rule change and ask kindly to not use the bar. Additionally please make sure to include this new rule on the Open Monday tour.
Rationale: The Scubar is legally non-public and by members for members only. It is not a cheap public bar, but gets increasingly viewed as such. As in people coming by only to drink at the Scubar, unaware of our space rules or community standards. This led to uncomfortable situations in the past weeks, including aggression and soiling.
Accepted proposal: @tomnomnom:x-hain.de is to become a Curator in Hobelhöhle.
Rationale: Suggested by Olli since he can't take care of business right now.
Accepted proposal: @patryk_k:x-hain.de is to become a Curator of LaserLab, with focus on the plotter.
Rationale: He's been taking care of it anyway and is willing to take care of it in terms of repairs, intros etc..
Accepted proposal: To support our Branches for upcoming rearrangements, xHain allocates some basic funding, meant to be used for furniture and infrastructure.
Accepted proposal: We allocate between 400 and 1000 euro for the creation of the Goldsmithing Branch. Ronja to be the Curator.
This was also accepted in Round Table on 2025-11-05.
For reference: Pad with Ronja's proposal: https://pad.x-hain.de/vW7Y77TZTC-YVORAS1UUIg
Accepted proposal: @frietjov:x-hain.de to become curator in hobelhöhle
Reasoning: He would like to be one.
Accepted proposal: @laszlo:x-hain.de to become curator in hobelhöhle
Reasoning: He would like to be one.
Accepted proposal: Astrid (disastrid) becomes Wiki Curator.
Reasoning: She is motivated, has some ideas and Richard welcomes the initiative.
Accepted Proposal: xHain buys the xTool P3 Bundle for 10.529€. This bundle contains a filter system, a table, rotaries and a side extension.
Reasoning: This is a good machine, with some advantages. It had a lot of consensus in the dedicated channel. Additionally it is important to get a running laser cutter sooner than later.
Accepted Proposal: Patryk (@patryk:x-hain.de) becomes the Darkhain Curator.
Reasoning: Jascha / NoGod is leaving the position and both came to an agreement for Patryk to take over.
Accepted Proposal: Due to using Hobelhöhle tools without introduction, ignoring safety rules and unexcellent behaviour towards other members, one individual gets banned from xHain's physical and digital space.
Reasoning: While we advocate a healthy error culture, making mistakes and dealing with it with ignorance and insult is unacceptable and puts other members at risk.
Accepted Proposal: Ronja becomes Curator of Textiles.
Reasoning: She wants to be more involved, and is excited to do things for both Goldsmithing and Textiles. We talked about it in February or so and she's been already doing acting as such since. Both Ivo and Núria agree.
Accepted Proposal: Anita becomes Curator of LaserLab.
Reasoning: She takes care for the microscope and can help taking care of the Lab.
Accepted Proposal: Tobi ( unlink (he/him) DECT 4100 ) becomes a Curator for Electronics Area.
Reasoning: He wants to be one and help victor in his efforts.
Accepted Proposal: Due to unexcellent behaviour towards several other members, one individual gets banned from xHain's physical and digital space for 4 weeks. During this time, further measures will be considered.
Reasoning: We want to provide a safe and friendly space for our community.
Accepted Proposal: Quentin, Tina and Danimo become Curators of AVX.
Reasoning: They volunteered to, after this Branch has been established at xHain without official Curators. All three have been heavily involved in the setup of the AVX room and materials so far and are excited to become its curators.
Accepted Proposal: Add Amesicle as 3D-Curator.
Reasoning: Amesicle is currently an instructor for 3D-Lab, wants to do more by becoming a curator and has Akin's total support.
Accepted Proposal: Making Sara (@sarafarnsworth:x-hain.de) a Curator of Hobelhöhle.
Reasoning: She’s there quite often, gained a lot of experience there and would like to get more involved in maintaining the machines, as well as giving induction sessions. As she uses the space a lot, she’d also like to show her appreciation by taking care of it. Olli considers her to be trustworthy, and the other curators agreed.
Accepted Proposal: Lou (@lou:x-hain.de) becomes an additional Curator of Textiles.
Reasoning: Lou has volunteered to, and has been very involved in the Textiles Branch for a long time.
Accepted Proposal: Add Dganit (@dganite:x-hain.de) as new Curator for xPress.
Reasoning: She has experience with book binding and other xPress related activities, and Alice and Richard value her input and participation.
Accepted Proposal: Add Jude as AVX Curator.
Reasoning: He's already doing introductions and orientations for members, he has the availability to oversee upcoming infrastructure projects and Quentin trusts him.
Accepted Proposal: Add Kiwi (@kiwigantes:x-hain.de) as new Curator for Kombüse.
Reasoning: She has experiences with cooking at Kombüse for InfraDay and has the support and assistance of Marin, Charlie and Richard.
Accepted Proposal: Add Joe (@ohnoitsjoe:x-hain.de), Sören (@binbash:x-hain.de) and Buğrahan (@stc:x-hain.de) as new Curators for bmxHain.
Reasoning: bmxHain is newly founded and in need of responsible persons. These three founded the new Branch and are very active at it.
